This privacy policy sets out how Gorefield Alpacas uses and protects any information that you give when you use our website and services.
We are committed to ensuring that your privacy is protected. Should we ask you to provide certain information by which you can be identified, you can be assured that it will only be used in accordance with this privacy statement.
We may change this policy from time to time by updating this page/document. You should check from time to time to ensure that you are happy with any changes. This policy is effective immediately to comply with the General Data Protection Regulation (GDPR) 2018.
For the purpose of the GDPR, the “data controller” is Gorefield Alpacas, Bleak House Farm, Allen’s Drove, Gorefield PE13 4PD. The information and data you provide will be processed in accordance with the provisions of the GDPR. We will comply with the GDPR.

HOW WE COLLECT THE DATA
There are only two methods by which personal data is collected:
– Directly from enquiries/customers/suppliers for the purpose of internal record keeping.
– When you give us direct permission to send you marketing communications by email or post. The communications will generally consist of promotional emails about new experiences, workshops, products, alpacas for sale or other information which we think you may find interesting using the email address and/or postal address which you have provided, depending on what method you have given us permission to use.

Depending on who you are (i.e. enquiry, customer, or supplier) we may collect the following information:
name (and job title if relevant)
company name (if relevant)
contact address and post code
contact information including email address
other information relevant to the situation/category of enquiry/customer/supplier
HOW WE KEEP DATA SAFE AND WHO HAS ACCESS TO IT
To explain how we keep the data safe and who has access to it we have categorised the information as follows:
– Enquiries/Customers
– Suppliers
Enquiries/Customers
Information is securely held in a digital format on our company folders and/or website database.
Paper files/notes of Enquiries that do not result in a booking or purchase are shredded after approximately 12-18 months.
Paper copies of customer orders are kept in accordance with Companies House guidelines of 6-7 years before being shredded. A digital record of business transactions are kept securely using a cloud based financial platform.
The business owner has access to this information for the purpose of being able to carry out their day to day duties efficiently. Customer order details may also be visible to our web agency, financial card information is encrypted.
Suppliers
Information is securely held in a digital format on our company folders.
Supplier contact information is held for a maximum of 12 months after a working relationship ceases to exist or expires.
Paper copies of invoices are kept in accordance with Companies House guidelines of 6-7 years before being shredded. A digital record of any business transactions are securely held in a cloud based financial platform.
The business owner has access to this information for the purpose of being able to carry out their day to day duties efficiently.
HOW YOU CAN ACCESS THE DATA AND “YOUR RIGHT TO BE FORGOTTEN”
We will not sell, distribute or lease your personal information to third parties unless we are required by law to do so.
You may request access, correction or deletion of the personal information which we hold about you under the GDPR. If you wish simply to be removed from our marketing database you can do this by using the unsubscribe or manage your preferences links at the bottom of our email newsletters and promotions. Alternatively you can contact us and request our assistance.
If you would like a copy of the information held on you please write to our GDPR Officer – Krystal Humphrey, Gorefield Alpacas, Bleak House Farm, Allen’s Drove, Gorefield PE13 4PD. A fee will be payable.
If you believe that any information we are holding on you is incorrect or incomplete, please write to or email us as soon as possible, at the above address. We will promptly correct any information found to be incorrect.
